SAVED 450+ HOURS/YEAR THROUGH AI-DRIVEN REPORT AUTOMATION

OVERVIEW
JLM&A, a communication and public relations agency in Portugal, faced a time-consuming and error-prone process: preparing a weekly clipping and detailed report for a client.
One employee spent around 40 hours per month on this task, manually reviewing hundreds of news articles, classifying relevance, and building Excel and PowerPoint reports. The report had to be delivered every Friday morning, requiring ongoing effort throughout the week.
1. Process Mapping & Automation
We mapped the entire workflow, from news gathering to final delivery. The process was fully automated, drastically reducing manual execution time.
2. AI-Powered Classification
We implemented a hybrid system with three different LLMs, balancing accuracy and cost. Each article was automatically classified, filtered, and prioritized for the client, ensuring consistent quality even in weeks with 700+ articles.
3. Review & Delivery
The report is automatically generated in Excel and held for one hour, giving the employee the chance to review or adjust classifications. After that, the system converts the file into PowerPoint and sends an email notification, ready for client delivery.
RESULTS
450+ HOURS SAVED ANNUALLY
IMPROVED CONSISTENCY AND REPORT QUALITY
REDUCTION OF MANUAL ERRORS
EMPLOYEE FREED UP FOR HIGHER-VALUE STRATEGIC TASKS
THE KEY
Scaling reporting without scaling headcount
This project wasn’t about replacing people, but about amplifying their effectiveness. Automation eliminated the repetitive, time-consuming parts, allowing the employee to focus on critical validation and client relationships. The result: efficiency without losing the essential human touch in communication.
